The client bank statement, the client cash book and the matter ledger listing, brought together, every difference named, and an audit trail a reviewer will accept. Built for SRA regulated firms.
How we use itBuilt for client money
Same software, same compliance behaviour. The difference is where your client account data lives, and that is your decision rather than ours.
A single machine inside your building. No server, no firewall change. Nothing leaves the premises. Right for a firm with one cashier and a manageable matter list.
Your own server or your own cloud instance, with a server side audit log and period locking across multiple cashiers. White labelled to your firm. Your infrastructure, your control.
For firms who would rather not run anything themselves. Stored under a European Union jurisdiction restriction. Not a United Kingdom only guarantee, and we will not claim one.
Whichever you choose, two factor authentication is required rather than optional, every firm's data is isolated from every other firm's, access is logged, and you can export everything you have put in at any time.
We are not a software startup that happened to notice a gap. We are a firm of Chartered Management Accountants regulated directly by CIMA and supervised by CIMA for anti money laundering purposes. The people who built this are the people who reconcile client accounts for a living, and who carry professional accountability if they get it wrong.
Every account, no exceptions and no opt out. An authenticator app, not a text message.
A hard jurisdiction restriction, not a location preference. Encrypted in transit and at rest.
Your ledgers are separated from every other firm's at the data layer, not filtered in the interface.
Who logged in, who ran what, who signed off, and when. Exportable for your Accountant's Report.
Your data is not submitted to any AI service that retains inputs, and it is never used to train a model. Ever.
Take everything out whenever you want, in a format you can read. No hostage taking if you leave.
And the honest part, in full, about the hosted shape. If you pick Essentials or Pro, none of what follows applies, because your data never reaches us. If we host it for you, your client account data sits on servers we are responsible for. That makes us a data processor under UK GDPR and you get a data processing agreement before you upload anything.
On location, we will not tell you what some vendors will. Cloudflare does not currently offer a United Kingdom only restriction for this kind of database. The tightest available is the European Union, which is what we use. The UK recognises the EU as providing an adequate level of protection, so this is lawful for a UK firm without additional safeguards, and we say European Union rather than United Kingdom because that is what is true.
Requests are processed across Cloudflare's global network even though the data is stored in the EU. We would rather tell you that than have you find it in a penetration test.
What it does
Client bank statement, client cash book, and the matter ledger listing. However your practice management system exports them.
The mechanical work automated. Items matched, the unmatched surfaced rather than buried in a spreadsheet nobody wants to open.
Not a number that fails to balance. A named list of what is causing it, so somebody can actually close each item out.
Prepared by, reviewed by, dated, with the workings attached. Built so the Accountant's Report is a formality.
Firms with two SRA authorisations reconcile twice. CARE handles multiple client accounts as separate ledgers rather than one blended mess.
Save and restore your work as a timestamped file on your own machine. You hold the audit trail, not us.
Honest about what this is
CARE is the tool AI Finance Partners uses to deliver client account reconciliation as a service, monthly, reviewed and signed by a qualified accountant. You can licence it and run it yourself, but what most firms actually want is the reconciliation done and signed, and the software is how we do that. It is part of the toolbag, not the offer.
That distinction matters. It means the professional judgement, and the responsibility that comes with it, sits with a Chartered Management Accountant regulated by CIMA rather than with a piece of software you bought and have to trust.
